Privacy policy

CraftMind helps independent trade professionals record their work and communicate with their clients. This policy explains what data CraftMind handles, where it goes, and your choices over it.

Two roles

You (the professional using the app) decide what client information you record — names, phone numbers, addresses, notes, and photos of their property. For that client information you are the data controller; CraftMind acts as a processor that stores and syncs it on your behalf. Your clients direct any requests about their data to you, and you can erase it using the deletion tools below.

What we handle

  • Your account: your mobile phone number, used to sign you in (a one-time SMS code) and as your business identifier.
  • Your work records: jobs, contacts, notes, photo tags, your business name, and photos you capture or import.
  • A client's agreement: when a client agrees to a proposal, we record the phone number they confirmed with a texted code and the time they agreed — the record of what was agreed.
  • Link views: when a proposal or portfolio link you sent is opened, we record that it was viewed and when, so the app can tell you.
  • Subscription status: whether you have a paid plan (via our payments provider).

Where it's stored

Your records live on your device first. If you subscribe, your text records (jobs, contacts, notes, photo tags) are also backed up to our servers in the United Kingdom so they restore when you sign in on another device. Photos stay on your device — only images you choose to put on a client-facing page (an agreement or a portfolio) are uploaded, so a browser can show them. Portfolio pages and their photos are removed 30 days after they are sent.

Our servers are backed up every night. Backups are encrypted before they leave our servers and stored in the European Union. We do not sell your data or use it for advertising.

Service providers

We use a small number of providers to run CraftMind. They process data only to provide these services:

  • Firebase (Google) — phone sign-in and the texted codes, for you and for clients agreeing to a proposal.
  • Cloudflare — the secure connection between the internet and our servers, this website, and storage for our encrypted backups.
  • RevenueCat and Apple — subscriptions and payments.

AI features

Photo tagging runs on your device. If a photo is hard to classify, a tiny low-resolution copy may be sent to our own server, processed straight away, and not kept.

Deleting your data

  • Delete a job or a client: on a job's page, delete that job — or, if the client has several, everything for that client — with its photos and notes, without closing your account.
  • Close account & delete everything: in Settings, permanently removes your account and all your data.

Deletion is immediate and permanent on your device and our live servers; encrypted backups age out on their normal rotation (within 30 days) and are never restored in the meantime. Deletion clears storage owned by the app only — photos you separately saved to your phone's camera roll are not affected.
